Post Content: Reporting to the VP & Chief Operating Officer (COO), the Administrative & Accounting Coordinator is responsible for performing executive-level administrative, secretarial, and entry level financial duties within the Corporate Services department.

When it comes to tackling any task, whether it be scheduling, drafting documents, or looking at numbers and journal entries, you are the ultimate afficionado! You are also a master of time, both in prioritizing your tasks to make sure you are working efficiently or helping the VP & COO in managing their time to keep their tasks and busy schedule on track. You are flexible and adaptable to change – often supporting the team with needed tasks, no matter how big or small, with a positive attitude.

You possess excellent organization, administrative and communication skills as well as basic knowledge of accounting. Utilizing your keen sense of observation and critical thinking abilities, you are able to anticipate needs and resolve any issues with ease. In addition, you value the importance of keeping a tight deadline! Overall, you are a master multi-tasker and person of many talents who others can rely on to always be proactive, willing to help, and get the job done.

Working within a fluid and fast-paced environment, the Administrative & Accounting Coordinator is flexible in nature and takes initiative to ensure that the Corporate Services team is supported in all areas to function efficiently.

The Administrative & Accounting Coordinator is responsible for a variety of duties ranging from executive administrative assistance to the VP & Chief Operating Officer (COO), finance support with accounts receivable and accounts payable, as well as other administrative duties in supporting general operations within the organization.

This position utilizes communication and organizational skills to effectively manage the workflow and priorities of the VP & COO and the team, while exuding high levels of confidentiality and professionalism with every interaction.

Strategic Goals:

Support the VP & COO and Corporate Services department by performing administrative, accounting, and operational duties to maintain organized, efficient, and accurate services to successfully advance business objectives.

Where you fit within our ecosystem:

The Administrative & Accounting Coordinator is part of the Corporate Services department. This team is responsible for all the accounting, finance, IT, Capital Projects (CRF) and human resources functions within the organization. This position works closely with all departments, as well as with key stakeholders, vendors, and external community groups and partners.

You will be a great fit if you…

Must haves:
• 2-3 years’ experience in an administrative and/or accounting support role, preferred
• High level of proficiency with Microsoft Office 365, particularly around Outlook, Excel, Work and SharePoint, with excellent computer and technical skills
• Proven ability to build positive working relationships and demonstrated teamwork with internal and external contacts
• Maintain the highest level of confidentiality with all contacts and foster an atmosphere of trust and integrity
• Strong written and verbal skills to communicate with all levels of the organization and its executive team, varying levels of staff, and different internal and external stakeholders
• Strong work ethic and positive ‘can-do’ attitude and ability to exhibit kindness, empathy and understanding
• Approach issues with a problem-solving attitude while exercising independent judgement and ethical decision making
• Effective attention to detail and a high degree of accuracy
• Strong organizational skills with the ability to prioritise tasks, work with constant interruptions, multi-task and adapt quickly to an ever-changing environment while maximizing effective use of time
• Collaborative, solutions-oriented self-starter who actively seeks opportunities and proposes solutions

Nice to have:
• A relevant certificate/diploma/degree from a recognized post-secondary institution or equivalent combination of education and work experience
• A passion for the arts!
