Programs Manager
The AUArts SA Programs Manager supports the development of students by identifying and providing accessible resources, ensuring the successful operations of our programming initiatives, and acting as a liaison between community partners and the student body.
This role directly supervises a team of part-time staff to facilitate vital programming initiatives that include, but are not limited to, Hear/d Residency, Marion Nicoll Gallery, Show + Sale, and Student Groups. This role also requires close collaboration with various Student Leaders who oversee community initiatives around campus.

Core Objectives
The Programs Manager contributes to the organization by fulfilling the following core objectives:
• Create and manage long-term goals that develop our programs and support the Association’s strategic direction
• Identify and provide accessible resources for the student body to support their growth as leaders in the creative industry
• Supervise assigned team members and support their ability to achieve the objectives of their role
• Research funding opportunities, write grant proposals, and maintain relationships with funding bodies to support the Association’s programming and community initiatives
Assigned Duties
To provide more detail, this role dedicates their efforts between the following areas:
Program Planning and Management
• Produce an annual program that follow the Association’s strategic direction
Provide input during the program planning process during strategic planning meetings to support the development of programming initiatives
Gather and analyze datato help inform the Executive Director on best practices in programming delivery and resources
Facilitate dialogue with members of the community to gain feedback on areas of improvement for the operational and educational components of the programming offered
Supervise the implementation and progress of any programming initiatives as identified
• Work with the Executive Director and programming team to pursue mutually beneficial partnerships and projects that support programming initiatives
Pursue meaningful opportunities, training programs, volunteer positions, internships, and other resource materials to provide to the student body
Human Resources Planning and Management
• Provide oversight and direction to employees in the operating unit in accordance with the organization’s policies and procedures
Consciously create a workplace culture that follows the organization’s mission, vision, and values
Compile job descriptions, post open positions, review applications, shortlist potential candidates, and conduct interviews
Coach, mentor and develop staff, including overseeing new employee onboarding and providing career development planning and opportunities
Assist administrative staff by reporting employee work schedules, including assignments, job rotation, training, vacations, paid time off, cover for absenteeism, and overtime scheduling
External and Internal Communications
• External Communications
Strategize with thecommunications team to ensure all programs and event logistics are promoted to all relevant audiences
Produce copywritingfor design materials on behalf of the programming team as needed
Assist the SA team with updating the monthly newsletter by writing engaging updates on upcoming programming initiatives
• Internal Communications
Conduct regular team meetings and one-on-one meetings via Microsoft Teams to foster collaboration and consistent communication
Assist the SA team with completing programming reports to be presented in governance meetings
Support relationships with university administrators, technicians, faculty, and students
Finance Planning and Management
• Support the development of programming budgets and operative plans
Support the annual budget process by providing projected expenses and revenues
Annually review related program fees, and related commission rates in relation to project costs
Write content for program funding proposals to guarantee uninterrupted delivery of services
• Monitor financial reports to ensure budget targets are being met
Periodically review the financial standing of assigned programs alongside the Executive Director to ensure that programming operates within the approved budget
Approve expenses for equipment purchases, repairs,and rentals upon reviewing the quotes provided
• Ensure that financial tasks are completed for the successful operations of all programming initiatives.

Qualifications
• Previous experience or education in program planning and management.
• Strong teammanagement skills with a focus on collaborative leadership.
• Excellent written and verbal communication. Previous experience in grant writing, copywriting, and/or technical writing would be considered an asset.
• Strong time management and organizational skills.
• Intermediate experience in Microsoft Office 365 (specifically Outlook, Teams, Sharepoint, and OneDrive). Previous experience in using project management software such as Asana, Trello, or ClickUp would be considered an asset.
• Ability to work with minimal supervision, prioritizing and self-identifying opportunities and efficiencies in task and workflow management.
• Access to a computer and reliable internet.
• Previous experience or interest in non-profit organizations, artist run culture, arts education, leadership development, and community planning would be considered an asset.
• Experience working in a post-secondary environment with faculty, staff, and students, and/or complex public-sector environment would be considered an asset.
The Perks
• Annual salary range: $37,000.00–$42,000.00 depending on level of experience
• Hours of work: 24 hours per week from May 15 –August 15, 32 hours per week for the rest of the year
